Role Overview
We seek a proactive PA to support our two Sales Directors and our Design Director. This is an exciting opportunity for an organised professional to thrive in a dynamic and fast-paced environment, offering essential support that enables our executive team to focus on strategic initiatives. Reporting to our EA to Directors, and as a pivotal part of our operations, you’ll manage daily activities, coordinate high-level meetings, and ensure smooth communication between departments.
This is a permanent role, and the working hours are 4-5 days per week, with some occasional out-of-hours support required.
Key Responsibilities
- Provide comprehensive administrative support to the Sales and Design Directors, including diary management, meeting arrangements, and travel coordination.
- Complete expenses administration/ submission.
- Complete sales and customer tender questionnaires and coordinate associated audits.
- Organising hospitality and lunches.
- Assist in planning and organising industry-related events and workshops.
- Assist in preparing presentations, reports, and meeting agendas for internal and external stakeholders.
- Manage incoming communications, prioritising and redirecting as appropriate while maintaining confidentiality where required.
- Coordinate and facilitate effective cross-departmental communication to support ongoing projects and initiatives.
- Support special projects, including collecting data and conducting preliminary analysis as directed by the Directors.
- Ensure accurate and timely record-keeping of documents and files related to sales and design activities.
Essential Skills and Qualifications
- Proven experience as a Personal Assistant or similar administrative role, preferably supporting senior executives.
- Engagement and strong technical ability with new technologies.
- Events and conference planning experience.
- Exceptional organisational and multitasking skills, with an ability to manage complex schedules and priorities.
- Strong communication skills, both written and verbal, with the ability to interact with internal and external stakeholders professionally.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with digital collaboration tools. HubSpot desireable.
- Discretion and understanding of confidentiality in handling sensitive information.
- Detail-oriented with a proactive approach to problem-solving and process improvement.
- Flexibility and adaptability to changing work demands and priorities.
